Provide a controlled package containing site information, consumption history, available drawings, surveys and known constraints. Record the issue date and distribute clarifications consistently. If bidders receive different assumptions or roof information, a comparison of price per kWp can hide substantial differences in scope.
Request an inclusion and exclusion schedule
Separate engineering, applications, procurement, construction, testing, monitoring, training and maintenance. Ask each bidder to identify provisional items and owner-supplied work. Define whether structural remediation, connection changes or other enabling works are included, excluded or subject to survey.
Ask for evidence behind the estimate
A yield estimate should identify its weather-data source, system configuration and losses. A financial scenario should identify the consumption match, tariff and cost assumptions. Equipment schedules should name models or performance requirements and explain the alternative-product approval process. Unsupported performance guarantees are not a substitute for an assessable method.
Evaluate delivery and acceptance
Review the programme, dependencies, inspection points, commissioning evidence and handover package. Ask who owns each interface and how variations are priced. Compare warranty provisions and after-sales responsibilities separately from hardware warranties. Keep a written evaluation record explaining any differences that materially affect the final choice.
